Fee’s, payments and cancellation policy

The event fee:
A deposit of 50% of the event fee, is payable on booking.

Photo processing:
Once the images have been selected by the client, each image will be processed to improve the appearance and quality of the images.

Accepted Payments:
Personal check payable to David Proett Photography, PO BOX 29064, Richmond, VA 23242.

Returned Checks:
A fee of $30 will be assessed for each returned check.

Overtime Fee:
Overtime fees will apply when the client requests the photographer to continue taking photos at the event after the booked time frame has expired. For example, if hired for 5 hours, and is asked to work an extra hour, it will cost the client an extra $200.00.

Cancellation Policy:
Events are booked months in advance.  Due to opportunity costs, a cancellation fee will be charged for all cancellations and will be determined as follow: Less than 30 Days before an event -100% Fee on 50% deposit made 31 to 60 Days before the event -75% Fee on 50% deposit made 61 Days and more before the event -50% Fee on 50% deposit made.
Backups: Backups of all still images and videos will be made on DVD within 24 hours of the event and stored in a firebox.

Requirements
At an event I need a large area to set up my equipment to take portraits.  This area needs to be large enough to accommodate the number of people to be included in a single portrait, generally about eight.  Exceptions can be made for a limited number of photos of a larger group.  Any nice area in the house or garden or park close by can be used as a set. It is very important to pre-determine which areas will be used during your function.

The time used for setting up equipment is not included in the time frame requested by the client, for example if it takes me 30 minutes to set up and 30 minutes to pack up the client is not been charged for that time. The clock starts when I start taking photos.

Every event is different and I will do all I can do to work out the best possible arrangements to make it all go smoothly. My goal is make it fun for everyone and to give them a souvenir they will always remember and cherish.  I do need a certain amount of control over the portrait process in order for me to do my part right and efficiently. Thanks for understanding.

Expenses

  • Travel expense:
    Any mileage will be charged at 54 cents per mile.  No charge within 90 miles of Richmond, VA
  • Lodging and meals:
    Any lodging and/or meals expenses incurred by the Photographer will be billed to the client.
  • Media expense:
    Since David Proett Photography takes 100% digital photography, the only media involved is the DVDs that are delivered to you with the video presentation.
  • Shipping:
    Shipping expense is billed directly to the client.
  • Client Rights
    The client has the right to use the images and video DVD presentation for personal use only.  The client is not authorized to sell or in any other way profit from the use of the images or video DVD presentation.

If anyone should be interested in the images or video presentation for commercial use, a model and/or location release will be submitted to you, the client, for approval.

Photographer Rights
The photographer retains ownership and copyrights to all of the images and video presentations.

The photographer reserves the right to use images and video presentation in future marketing materials.
